for Schools

Responsibilities & Commitments
​
The Sunshine Room
-
To attract well qualified candidates for a Client’s vacancies, through high quality, sponsored advertising posts on leading job boards.

To respond at pace to applications, ensuring the engagement of the best candidates for the Client.

To determine and illustrate a candidate’s suitability and eligibility for the vacancy.
-
To check candidate’s identity and Right To Work in the UK.
-
To check existing DBS certificates, notifying the Client in cases where there are cautions and to share relevant information in this context.
-
To advise candidates that in cases where there are cautions on a DBS certificate, that a statement may be required by the employer before interview.

To support the candidate and client with interview arrangements, as required.

Financial Management
-
To invoice on the same or next day, following an offer of employment, made by the client and accepted by the candidate.

To advise a client that payment is due imminently, in cases where a remittance advice has not been received within usual timeframes.

To support a Client not to fall into a ‘late payment’ category to avoid additional charges.

To uphold any rebate due in cases where an appointment is not successful.
Introduction Services Agreement - Terms of Business

To provide Terms Of Business promptly, following a request for recruitment services from a Client.

To name the Headteacher or Principal as the person agreeing the Terms of Business, in most cases.

In cases where a member of the HR department, or a hiring manager has requested the recruitment services and is receiving these terms, they will be named as the authorised person on the Terms.

Is agreed that The Sunshine Room is able to rely that the person ordering the recruitment services is authorised to do so.
Communication Etiquette
-
To provide responses to enquiries from Clients as soon as possible and always on the same day where practical.

To uphold the good reputation of both organisations during all communications with all parties.

The Client
Request For Services
-
To provide all details as required for the effective and accurate marketing of the vacancy.

To uphold that any person from your organisation who communicates with us to request recruitment services has the authority to do so.
Introduction Services Agreement - Terms of Business
-
To agree that unless queries are raised and shared by return, or within a reasonable time-frame, the terms are deemed as accepted on the date of transmission by email.

To agree that if the recruitment services are not ordered by the Headteacher or Principal, it is expected that the Terms of Business will be forwarded to the Headteacher or Principal by the person ordering the services.
Candidate Management
-
To provide feedback on the same or next day, that a candidate’s CV has been received and if you are considering that candidate.

In cases where you have already received have a candidate’s CV from another source or direct application, you must inform The Sunshine Room of this fact immediately, confirming the date you received the CV or direct application.

Agree that you will complete your own vetting and safeguarding checks to ensure the suitability of the candidate.

Inform Mason Recruitment immediately, if you make an offer of employment to a candidate, introduced to you.

All introductions last for a period of 12 months. If a school contacts the candidate and makes an offer of employment during this time, the introduction fee is applicable.
Non-Responsive Behavior
To ensure the sustainability of the business, clients who request services but become unresponsive will be charged for the cost of advertising the vacancy and for the time taken to interview candidates, done at pace and in good faith following the request, however it was communicated.
This policy helps to mitigate the financial and reputational impact of unfulfilled orders, allowing us to continue providing high-quality services to both our schools and our candidates.

Communication Etiquette
In the exceptional case where unprofessional communications arise from the Client, which goes on to affect alignment of values and the business relationship, The Sunshine Room reserves the right to withdraw recruitment support services and recover the business costs relating to advertising and candidate engagement activities, on the same scale as for Non-Responsive Behaviour.

Confidentiality

Both parties will keep shared information confidential and only use it for the purposes of this agreement and according to GDPR regulations.

If the Client shares details about a candidate to a third party, who goes on to employ that candidate, an invoice will be sent to the Client for recruitment fee.

​Payment and Fees
-
The fee is chargeable from the day on which a candidate accepts an offer. The rate at which a client onboards a candidate is not able to be taken into consideration.

Invoices to be paid within 30 calendar days or sooner, by bank transfer.
-
If the invoice due date falls within a school holiday, payment must be made before the start of the holiday period.

Late payment incurs interest at 5% above the Bank Of England base rate, on that day.

Fees do not include VAT at this time.

Fees apply to any introductions that lead to an offer of employment being made and accepted, as outlined below.

Minimum fee £2000.00
-
10-12.5% of agreed annual salary of the successful candidates (this includes additions of TLR and SEN points)

Rebates
To protect your investment, in the event that a candidate fails to meet their contractual obligations, rebate is provided ranging from 75% - 10% across an 11 week period.
